General Data Protection Regulation (GDPR)

The purpose of GDPR is to keep personal data safe. 

STAN will document what personal data is held about listeners and volunteers, involved with the organisation, where it came from and who it is shared with. GDPR requires STAN to maintain records of its processing activities. STAN will not collect personal data ‘just in case it’ll be useful’ as this is not permitted. All data collected will be for a specific purpose.

STAN will not keep data longer than it is necessary to serve a specific function. All contact data of past (inactive or deceased) listeners/volunteers will be securely disposed, both electronic records and/or shredding any paper copies. STAN will, unless we have a clear, specific reason for holding data, delete the data. For ex-listener data we will delay for 6- 12 months to resolve possible queries, retrieve a player or consumables. 

The processing of personal data must be: concise, transparent, intelligible and easily accessible, written in clear and plain language, particularly if addressed to a child; and free of charge. 

STAN will check the procedures to ensure individuals rights are covered, including how personal data is deleted or provide data electronically and in a commonly used format. GDPR includes the following rights for individuals:

  • The right to be informed
  • The right of access
  • The right to rectification
  • The right to erasure
  • The right to restrict processing
  • The right to data portability
  • The right to object and
  • The right not to be subject to automated decision-making including profiling.

If a listener/volunteer asks to have their personal data deleted, this would be done as soon as is practically possible, both electronically and any paper copies held.  The Chairman or Trustee nominated by the Chairman will oversee the process and ensure correct data has been deleted in a timely manner.

Anyone wishing to make a request in respect of personal information held by STAN may apply in writing.
